The Vestly

Terms of Service

Effective date: 15 October 2026

1. Who we are

The Vestly(“the Service”) is a hotel management and guest-service platform operated by Cubbing Solutions Private Limited(“we”, “us”), D12, 203, Purvawindermere, Bhavaniamman Koil Street, Pallikaranai, Chennai, Tamil Nadu 600100, India. Hotels use it to run front-desk operations, reservations, point of sale, billing and guest requests. Guests use it to request services, for example by scanning an in-room QR code or messaging the hotel on WhatsApp.

2. Signing up and accounts

Anyone running a hotel or lodging business can sign up for a workspace with a verified email address. The person who creates the workspace is its owner and accepts these terms for the business. The owner can invite staff, and is responsible for who has access and for what staff do in the workspace. Hotels on a separately signed agreement with us have their workspaces set up by us; that agreement applies alongside these terms.

Keep your sign-in details confidential and give us accurate information. Use the Service only for lawful hotel operations. Do not misuse it — for example by trying to access another workspace’s data, disrupting the Service, or sending unlawful, abusive or deceptive content through it. Guests can use guest-facing pages (QR pages, WhatsApp) without an account; by using them they agree to these terms.

3. Free trial, free rooms and paid plans

  • Free trial. A new workspace starts with a 14-day free trial: every feature and no room limit. No payment details are needed to start.
  • Free plan. After the trial, the first 5 rooms are free for as long as you use the Service.
  • Paid plans. You pay only for rooms above the free 5: ₹500 per room per year, plus 18% GST, paid yearly in advance, as listed on our pricing page. Rooms added part-way through a paid year are charged only for the days left in it. Paid plans are currently available to hotels in India; elsewhere the trial and the free rooms apply. Every payment gets a GST tax invoice.
  • Prepaid, no automatic renewal. Paid plans are paid in advance, online through Razorpay, for the period you choose. They do not renew automatically: we never store your card or charge you again without you choosing to pay. To keep a paid plan, renew it yourself before it ends. Renewing early adds time on top of what you already have.
  • Reminders. We email the workspace owner before the trial ends and before a paid period ends (currently 3 days before the trial ends, and 7 days and 1 day before a paid period ends), and show a notice in the app.

Hotels on a separately signed agreement pay the fees in that agreement instead. Charges billed to guests (room charges, food orders, services) are set by and payable to the hotel, not to us.

4. When a trial or paid plan ends

When the trial or a paid period ends without a renewal, the workspace moves to the free plan, which covers 5 rooms. Nothing is deleted. If more rooms are in use than your plan covers, new reservations and check-ins pause until you buy more rooms or deactivate rooms down to the limit. Guests already checked in are not affected, and your existing records stay available.

5. Cancelling and leaving

Because plans never renew automatically, there is nothing to cancel: simply don’t renew. Your paid plan stays active until the end of the period you paid for. Refunds follow our refund and cancellation policy. The workspace owner can ask us for a copy of the workspace’s data, or to delete the workspace, from Settings → Property → Your data in the app, or by emailing logesh@cubbingsolutions.com. We may suspend or close a workspace that breaches these terms.

6. Hotels and guest data

Each hotel is responsible for the guest data it collects and processes through the Service (bookings, stays, identity documents, orders, bills, messages). We process that data on the hotel’s behalf, as described in our Privacy Policy. Hotels are responsible for complying with the laws that apply to their guest records and communications, including obtaining any consents needed to message guests on WhatsApp.

7. WhatsApp and third-party channels

Messaging features are delivered through the WhatsApp Business Platform operated by Meta. Using WhatsApp through the Service is also subject to WhatsApp’s own terms and policies. We are not responsible for the availability of third-party channels.

8. Availability and changes

We aim for high availability, but the Service is provided “as is”, without warranties of uninterrupted or error-free operation. We may improve or change features over time, and may update these terms. When we make material changes we post the new terms here with a new effective date, notify workspace owners, and ask owners to accept them in the app. The terms in effect at the time apply to continued use.

9. Limitation of liability

To the maximum extent permitted by law, we are not liable for indirect or consequential losses, loss of profits, or loss of data arising from use of the Service. Our total liability for claims relating to the Service is limited to the fees the relevant hotel paid us in the twelve months before the claim.

10. Governing law and contact

These terms are governed by the laws of India. Questions about these terms: logesh@cubbingsolutions.com. Complaints about the Service or about how we handle personal data: see Contact us in the Privacy Policy.
